How to build a project plan from zero to 100

Struggling to create a project plan from scratch?

Not sure how to get started and what info you need?

Today, I will show you how to build one from zero to 100 (PMP not required).

I’ll share an example template too.

Let’s dive in.

Let’s first talk about what a project plan is.

TLDR; it’s usually a one-pager that summarizes the high level plan for a project, initiative or program.

It includes the goal, success metrics, key milestones / dates etc. Ultimately, it’s used to ground people in the “why” and “how” you will execute. Every plan looks difficult but here are my must-haves.

Project Plan Must-Haves

1. Context - why are we doing this? what do we know already?

2. Objective - what’s the goal?

3. Business case - why is it important for the business?

4. Working team - which teams/individuals will help you execute?

5. Success metrics or KPIs (key performance indicators) - how will you measure success?

6. Key stakeholders - who are your key stakeholders? who is the ultimate decision maker or executive sponsor? Consider a RAPID or DACI

7. Risks / Mitigation plan - what can go wrong? and what’s the game plan if it happens?

8. Key milestones / dates - what’s the high level timeline? what needs to happen by when?

Simple Project Plan Example

I built this one using my company’s product, Figjam. Try it out!

In short, it doesn’t matter what your project plan looks like - google doc, ppt, figjam, etc. What matters is the content. Does your plan make it super clear what you’re doing, why it’s important, and how you’re getting there?

If so, you’re good 👍🏼. Making sure people understand the “why” is half the battle.
